Sharing Files Securely 

Secure sharing allows you complete control over what happens with your files. It is secure because the receiver of the file, upon receiving the link, will be required to set up a free Adstream account meaning you are able to control and track the usage of the file. To share a file:

  1. From your project, open the file you want to share and then towards the top of the screen click Share File.
  2. In the following window type the email addresses of the people you would like to share the file with.
  3. Set an expiry date or choose Never expires (which is checked by default). After this date users will no longer be able to access the file, unless they have downloaded the file to their computer.
  4. Below this you can enter an accompanying message that will be sent in the email.
  5. Choose what formats, if any, the recipient can download and once you’re done click OK and a link will be sent to the users you entered.

Sharing Files Publicly

If the file you want to share doesn't need to be secure, you can share the asset with a public link. This makes it easier for the recipients to access the file as they don't need an Adstream account. To share a file publicly:

  1. From your project, open the file you want to share and then towards the top of the screen click Share File.
  2. Click on public share and you will see a URL link to the file.
  3. Make it public by clicking activate and now anyone you give this link to can access the video.
  4. Type the email addresses of the people you would like to share the file with.
  5. Set an expiry date or choose Never expires (which is checked by default). After this date users will no longer be able to access the file, unless they have downloaded the file to their computer.
  6. You can also choose what formats, if any, the recipient can download and once you're done, click Send.

 

Managing the files shared

From the share menu you can also see who you’ve shared the file with, by clicking Secure Shares.  The number in brackets shows how many people you’ve shared the file with.

From this window you can see the list of shares and both manage the download settings for each user and remove a user from the file by clicking the x.

To see who you’ve sent the public link to click Public Link Access.

To stop sharing this link go back to the Public Share page and click Deactivate by the URL.

    Hi, I am unable to share a file (BRE336) with an external agency. The Share button is still greyed out even though I have been added as Project Admin.
    Could someone please enable me to share the above files please. The files need to be sent out asap tomorrow.
